Sales operations professional

The problem

The assistant writes a qualification with budget, decision-maker and timeline, but the customer never said some of it, and the legal basis for contact is assumed. A quarterly forecast goes to management with a probability changed silently.

A documented failure pattern

“Agreed with the customer”, for a discount that was only requested

  1. What the tool doesA summary of a sales call that an AI tool drafts for the salesperson, to be saved as the CRM note and sent to the customer as the follow-up email.
  2. Where the tool goes wrongThe summary records as agreed a discount the customer only asked for.
  3. The verification stepFind who said each term in the transcript; keep requested terms apart from accepted ones.

Where the tool goes wrong, and why it is easy to miss

The customer receives in writing a discount the director has not approved: the follow-up email presents it as agreed, and the CRM note changes the opportunity stage and the sales forecast. In the call, the customer asked for these terms and the salesperson did not accept them; the tool turned the question into an agreement, because a requested discount and a mentioned date usually end in "yes". Checking the figures does not help: 200 boxes, 10 per cent and 15 November are all in the transcript. The error is in the verb and the speaker.

The check that catches it

  1. For every price, discount, quantity and date in the summary, find the sentence in the transcript where it was said and note who said it: the customer or us.
  2. Split the terms into two lists, "requested by the customer" and "accepted by us". A term moves to "accepted" only when the transcript has a "yes" from someone entitled to give it.
  3. Do not change the opportunity stage or probability in the CRM from the summary. Change them only once the discount has been approved internally and the customer has confirmed in writing.
  4. Before sending the follow-up email, write the unapproved terms as open points, for example: "We will come back to you on the 10 per cent discount once it has been approved."

What it looks like

The AI tool's draftAgreed with the customer: 200 boxes at a 10 per cent discount, delivery by 15 November. Opportunity stage: negotiation completed.

Courses on sales opportunities, proposals, customer communication and reporting with AI assistance.

What you leave with

Every qualification and quarterly forecast comes with a claims record: the call note behind each claim, each number recalculated outside the assistant, who confirmed it and what is still open. The sales manager reads it before the forecast goes to management. In the workflow course you write the first message to the customer, the follow-ups and the offer with AI, and check them before you send them.

Courses that apply to every profession

25 more courses are the same for every field: the foundations of AI, checking its answers, agents, and what to do when you get stuck.
