The problem

A summary of an instruction adds a 15-day deadline that was never in it, or an article reference that covers another subject entirely. A table adds up wrongly and gives a percentage without its base. It all enters the file because it reads well.

A process from your work

How long does it take you to write up the report after a call?

  1. Step 1From the body camera audio or the notes, the tool drafts the narrative of the report.
  2. Step 2You fill in the structured data yourself and read the draft against your notes.
  3. Step 3Any line your notes do not support is removed; the signature stays with the officer.
  4. Where the tool goes wrongThe record adds as a participant a colleague who was only on the phone.
  5. The verification stepWrite from your notes who was physically at the scene and compare name by name.

What changed, as measured

In a preregistered randomised trial, AI drafting did not significantly shorten report writing; the authors conclude that no time saving should be expected from it.

Who was measured: Patrol officers of a medium-sized US police department, in a preregistered randomised trial.

The caveat: One police department; the trial measured the time to write, not the quality of the reports; other effects remain untested.

The check, step by step

  1. Before opening the draft, write from your notes the list of people who were physically at the scene.
  2. Compare your list name by name with the participants in the draft and correct any name that is extra or missing.
  3. For every name, time and action in the draft, find the source line in your notes; someone mentioned only in a phone call or radio message is not a participant.
  4. Fill in the signature lines from your checked list, not from the draft, and have every participant read and sign each page.

The course covers work documents drafted with AI: marking every part the tool touched, review by a colleague and strict verification.

A documented failure pattern

Three people at the scene, four on the record

A draft procesverbal (official record) of a vehicle search, written by an AI tool for a patrol officer from the notes in their notebook, before the officer signs it and makes it available to the prosecutor (Code of Criminal Procedure, Article 303).

Why it is easy to miss

One extra name is enough for the defence to challenge the search: the record is signed by the persons who took part (Article 117) and is invalid when there are doubts about their identity (Article 122, paragraph 1). The tool moved colleague D. from a phone call into the list of participants, using the standard wording of a procesverbal. It passes a quick read, because the name is in the notes, with the right unit.

Where the failure pattern is documented: Memo of a US prosecutor's office (King County, September 2024); ACLU white paper (November 2024); case reported by FOX 13 Utah (December 2025); Council on Criminal Justice case study (September 2026).Sources: King County Prosecuting Attorney's Office memo, 2024; ACLU, 2024; FOX 13 Utah, 2025; Council on Criminal Justice, 2026.The case above is ours, written for work in Albania; the laws it names were checked against the official text.

What it looks like

The officer's notes14:20 vehicle search. Present: me, colleague B., the driver. 14:35 phoned colleague D. at the station to check the plate.

The tool's draftThe search was carried out by me, colleague B. and colleague D., in the presence of the driver. The record was read and signed by those present.

What you leave with

The file log ties every point and reference to its page in the official text, notes each tool addition that was removed and each figure recalculated from the source rows, and carries the name of the supervisor who read it before signature. It still reads clearly when the file is opened months later.
