The problem
The assistant ranks stores of different formats by loyalty sign-ups and recommends copying one store's model across the chain, though a supermarket, a fashion store and a pharmacy corner serve different customers. It explains the gap between stores with invented causes.

A documented failure pattern
A refund "also for promotional items"
- What the tool doesA reply an AI tool drafts for a customer-service employee of a retail chain with several stores, to a customer who wants to return an item bought at a discount.
- Where the tool goes wrongThe draft promises a refund for promotional items too, a promise the policy makes nowhere.
- The verification stepCompare each promise with the policy point in force; delete anything you do not find there.

Where the tool goes wrong, and why it is easy to miss
The draft takes the rule in point 3 (30 days, any store, refund) and extends it to a discounted item, then closes with "also for promotional items", a promise the policy makes nowhere. The figure "30 days" is true for full-price items, so an employee who knows that number sees the draft as correct. But what the customer will act on is exactly the last sentence: a refund instead of an exchange, and in a different store from the one where it was bought. The message goes out in the chain's name, so the chain answers for the added promise.
The check that catches it
- Open the version of the return policy in force, with its approval date, and find the point that covers the case: full price or discounted.
- Check the customer's receipt: the date, the store of purchase and whether the item has a discount line.
- Compare every promise in the draft (the period, refund or exchange, which store) with that point, and delete any sentence you do not find there, such as "also for promotional items".
- If the policy does not cover the case, or the customer mentions a defect, do not let the tool fill the gap: ask the store manager or head office and write only the approved answer.

What it looks like
The customer's questionI bought the vacuum cleaner at 30 per cent off in the Elbasan store. There is no defect, I just no longer need it. Can I return it and get my money back?
The AI tool's draftOf course! You have 30 days from purchase to return it to any of our stores and you get a full refund, also for promotional items.
The chain's return policy, points 3 and 43. Full-price items can be returned within 30 days in any store, with a refund. 4. Items bought at a discount are not refunded: they are exchanged within 14 days, with the receipt, in the store where they were bought.

What you leave with
The store comparison protocol: the split by format and definition, a source for each cause kept, a reason for each cause removed, and the second pair of eyes before the report. When another store applies it to the same analysis, it gives the same list of causes. You learn to draft the weekly memo for the stores and the customer notices with AI, and to verify them against your own checklist before you send them out.
